Disclosure: Abivo is our product. Facts about other tools come from their own websites as of October 2026.

The short answer: If your problem is hundreds of small restaurant, grocery and institutional accounts that pay late and nobody has time to call, Abivo takes that follow-up: its AI agent, Kate, calls, texts and emails customers about overdue invoices in your company's name and hands disputes and short pays to your team with the full history. If deductions from chains and retailers are the bigger leak, look at Esker or HighRadius. If you want AI across cash application, short pays and collections in one system, look at Monk. If you want a customer payment portal plus collections, look at Versapay or Billtrust. If you run NECS entrée, use its credit hold and AR tools as the base.

Food distribution AR looks different from most B2B receivables. A distributor might have a few large chain accounts that pay on terms with deductions, and hundreds of independent restaurants and stores that buy weekly on route. Short pays come from shorted cases, damaged product, credits promised by a driver, or pricing that does not match the order guide. Each small balance is not worth an hour of a collector's time, but together they are a large share of the aging report.

Abivo

Abivo is AI collections software that works on top of the accounting system you already use. Kate, its AI agent, calls, texts and emails customers about overdue invoices in your company's name. One message can cover every open invoice on an account, which suits a restaurant that owes on twelve weekly deliveries. Reminders name the invoice details your customer needs, such as the PO and billing period.

Kate records promises to pay, disputes and next steps. When a customer says a case was shorted or a credit was promised, Kate hands it to your AR team with the full history, and you can pause that single invoice while the credit is worked out. You set the cadence per account or segment, so street accounts and chain accounts get different treatment, and you can flag key accounts so a named owner handles them. Multi-entity distributors keep each subsidiary separate. Abivo works with customers in over 50 countries and in any currency, and connects with QuickBooks, Xero, NetSuite, Sage Intacct, Microsoft Dynamics 365 Business Central, SAP and Chargebee, or an aging report export.

Abivo does not replace your ERP, invoicing, payment processing or cash application, and it does not code or validate deductions. OFS Group, a fire protection contractor, collected $842,518 in its first four months with Abivo (case study). More detail is in our guide to collections software for food distributors.

Choose it when: the long tail of small accounts is where cash sits, your team cannot call them all, and you want short pay disputes routed to a person instead of ignored.

Monk

Monk's food and beverage page focuses on AI cash application that learns each customer's remittance patterns, surfacing deductions and short pays and routing them with invoice context, and collections follow-up that adapts through broker and distributor layers. Monk says it "resolves short-pays with full context." Its wholesale distribution page adds that it chases every account on schedule and submits invoices to AP portals such as Coupa and Ariba.

Choose it when: unapplied cash and unexplained short pays are slowing your team, and you want one AI system across cash application and collections.

Esker

Esker's deductions software targets food, beverage and consumer goods manufacturers and distributors. Its site says AI reads remittances, debit notes, promotional invoices and emails, codes each deduction by type such as shortage, damaged product or price discrepancy, and routes it through approval workflows to sales or supply chain. Deductions link to invoices, delivery notes and orders, and bots can pull backup from customer portals. A collections specialist can assign short payments to a deductions analyst inside Esker's collections module.

Choose it when: chain and retail deductions are a large, recurring cost and you need structured investigation and approval before anyone chases the balance.

HighRadius

HighRadius describes itself as a "single platform for the Office of the CFO" with collections, cash application, deductions, credit and invoicing modules, and lists food and beverages and CPG among its industries. Its deductions module validates trade deductions by matching claims, promotions and item data, integrates with trade promotion management systems, and connects to point of sale data. It names SAP, Microsoft Dynamics 365, Oracle and NetSuite among its ERPs.

Choose it when: you are a large distributor or food company with trade promotion deductions and an enterprise finance team ready for a broad platform rollout.

Billtrust

Billtrust calls itself a "Cash Generation Platform" covering invoicing, payments, credit, collections and cash application. Its distributors page describes "AI-driven accounts receivable automation for Distributors," including credit onboarding through automated risk assessment and electronic credit applications.

Choose it when: you want to digitize invoicing, payments and credit onboarding for a large customer base on one enterprise platform.

Versapay

Versapay says it helps "simplify the entire invoice-to-cash process." It offers digital invoicing and a self service customer portal where customers pay and resolve disputes, collections management that prioritizes high risk accounts, AI cash application and B2B payments. It lists wholesale distribution among its industries and integrates natively with NetSuite, Sage Intacct and Microsoft Dynamics 365.

Choose it when: you want customers to see and pay invoices online and raise disputes in a portal, with collections tasks in the same tool.

NECS entrée

NECS entrée is an ERP built for food distributors. Its site describes AR, AP and GL with cash receipts, account inquiry screens and "configurable credit hold logic" with a queue for held accounts. Optional modules add electronic payments, online ordering and invoice payment, and proof of delivery.

Choose it when: you run entrée and the priority is tight credit holds at order entry rather than outbound follow-up.

How to choose

Split your aging report into two groups: balances with a deduction or short pay attached, and balances that are simply unpaid. Deduction work needs investigation tools. Unpaid balances need consistent follow-up. Most food distributors have both problems, in different customer segments.

Food distributor AR checklist:

  • Deductions and short pays: Is every short pay given a reason code (shortage, damage, pricing, promotion) and routed to someone who can approve a credit or rebill? Our guide on customer deductions and short payments walks through it.

  • Driver credits: When a driver promises a credit on the dock, how does AR learn about it before calling the customer?

  • Route and street accounts: Can follow-up run on a weekly cadence for small accounts without a collector touching each one?

  • One message per account: Can a restaurant owner see every open invoice in one call or email instead of twelve?

  • Credit holds: Who decides when an account goes on hold, and does sales hear about it before the truck is loaded? See our credit hold policy guide.

  • Unapplied payments: Are payments matched before you chase, so you do not call a customer who already paid? See unapplied cash.

  • Chain accounts: Can key chain accounts be flagged to a named owner while the long tail is automated?

  • Integration: Does the tool read open invoices from your ERP or an aging export without double entry?

Frequently Asked Questions

What is the best collections software for food distributors?

It depends on the mix. For many small route accounts that pay late, an AI collections agent such as Abivo handles follow-up across the long tail. For heavy chain deductions, Esker or HighRadius focus on investigation and approval. For short pays tied to cash application, Monk is built around that.

How do food distributors handle short pays and deductions?

Capture the reason for every short pay, route it to sales, warehouse or pricing for a decision, then either issue a credit or rebill and follow up. Abivo records the dispute and hands it to your team with the full history; deduction tools like Esker code and route the claim itself.

Can collections software call restaurants and small stores?

Yes. Abivo's Kate calls, texts and emails customers in your company's name, can cover every open invoice on the account in one message, and passes anyone who asks for a person to your AR team.

Does Abivo work with food distribution ERPs?

Abivo connects with QuickBooks, Xero, NetSuite, Sage Intacct, Microsoft Dynamics 365 Business Central, SAP and Chargebee. For other ERPs it works from an aging report export. See the manufacturing and wholesale industry page.

Should we chase small balances or write them off?

Write offs add up across hundreds of accounts. Automated follow-up makes small balances worth collecting because no collector has to spend time on each one, while disputes still reach a person.
